How to Review and Send Work Order to Contractor?

After a work order is created, Merlo AI always prepares a draft email before sending anything. Nothing is sent without your approval.

Steps:

  1. After the work order is created, the confirm the draft email is created in Outlook. You will see:
    • The recipient (contractor’s email address)
    • The subject line (e.g. Work Order #42: Roof Repair – Plan 12345)
    • The email body, including Accept / Message / Decline action buttons and job details
    • A note that the work order PDF will be attached
  2. Read through the draft carefully. Pay attention to:
    • Is the recipient’s email address correct?
    • Does the job description read clearly for the contractor?
    • Are there any attachments from the original email that should or should not be included?
  3. When you are satisfied with the draft, click send in Outlook.
